Online registration and your offering on your own website

Your registration form, custom questions, administration fees and terms, and how to put your schedule, events, tickets and forms on your own website.

New members register themselves with your school's registration form, in the front office at the address /registreren of your environment. You can also put the same form, your schedule, your events and your ticket shop on your own website, with a piece of code that you copy and paste. The form and embedding work in every version, including the free Discover version.

What does the form ask?

Always name, email address and a password, plus agreement to the terms. In addition you choose what the form asks for, under Members > Sign-up (or Members > Settings if you have courses):

  • "Dance school (dance fields required)": also gender, dance role, date of birth, phone and address, all required. A new member automatically gets the entry level.
  • "Basic (only name, email, password)": only name, email and password. The billing address is only asked at checkout.

If you have courses, you can let members request a level themselves, optionally already on the form. You then approve it in the back office. A half-completed form is saved along the way.

Can I add my own questions?

Yes, under System > Registration fields. There are four kinds: a text field, a multi-line text box, a dropdown and a checkbox. Per question you choose the name, whether it is required, the options and the order.

Can I charge a registration fee?

Yes, as an administration fee. You switch it on under System > Registration settings, with the amount. Registering itself stays free; the member pays when booking or buying. Per situation you choose whether the fee applies: for a whole course, for a single class within a course, for a paid single activity, for a free activity (off by default) and on the first payment of a subscription. For classes and courses a member pays it once; with every new subscription again. You can switch on a reminder email with a payment link; it is off by default. Collecting administration fees goes through your own Mollie account and works from Payments. How this works with subscriptions is explained in Creating a subscription.

Can I put the form on my own website?

Yes. Under Embeds > Dashboard in the back office there is a piece of code for each part. You copy it and paste it into the page of your website where it should appear. This works in WordPress, Wix, Squarespace and any other site where you can paste HTML.

The registration form needs one extra step: add your website's address under "Websites allowed to show your forms", for example https://yourschool.com. Only the address, without a path after it. Https and http count as different addresses, and www.yourschool.com is a different address from yourschool.com; if you use both, add both to the list. If your website is not on it, the spot on your site stays empty.

If a visitor is already logged in, they see that they are already registered. If you are logged in yourself as an administrator, you see a preview and nobody is registered.

What else can I put on my website?

Eight parts in total:

  • Timetable: your weekly schedule. A visitor clicks a class and goes to that class in Baila.
  • Registration form: the form above.
  • Events: the list of upcoming events.
  • Ticket shop (per event): the ticket sales of one event, for that event's own page.
  • Ticket shop (all events): everything on sale in one block.
  • Contact form: for messages and requests.
  • Feedback form: for feedback and complaints.
  • Frequently asked questions: the questions from your Knowledge base set to "Public (everyone)".

The timetable, the events, the ticket shop and the frequently asked questions work on any website, without settings. The registration, contact and feedback forms only work on the websites in your list.

Do I need to change the code when something changes?

No. If a class or event is added, or you choose another colour style, the part on your website changes along automatically. The height of the frame adjusts to the content. Under Embeds you choose one colour style for everything: "Light (default)", "Blue / orange", "Dark, transparent (for dark sites)" or "Dark base with light accents".

Ordering and logging in always happen on your own Baila address, not inside the frame on your website. The order button therefore opens your Baila address.

What if my visitor sees nothing?

First look at the status line next to the part in Embeds. It tells you whether there is anything to show right now, for example that no classes are published this week or no tickets are on sale. If a form does not work, check the list of allowed websites. With "Open in new tab" you see what your visitor gets, separate from your own website.

Which terms do members agree to?

Baila's terms of use and privacy statement. Agreeing is required. If a new version comes out, a member first gets a screen to agree again. You show your own terms and conditions in the front office under Terms, as text or as a PDF. The form also has a checkbox for anyone who does not want marketing email.

What about dancers under 18?

When registering, the form asks whether someone is 18 or older. For a dancer under 18, the dancer enters the details of a parent or guardian.

What do I see after a registration?

The new member sees a confirmation and receives a welcome email. You set the subject and text of that email under Communication > Overview; if you leave them empty, the standard text is sent. In the back office the registration appears under Registrations, with the answers to your own questions, and the member is in your member list.

Which plan includes this?

The registration form, custom questions, the timetable, events, the contact and feedback forms, the frequently asked questions and embedding on your website are part of every version, including Discover. The ticket shop and administration fees need a connected Mollie account (Payments). Levels and courses belong to Premium. The amounts are on the Pricing page. How to get started is explained in Setting up your environment.
