FAQs, rules, procedures and practical information your school manages itself. What you publish counts from the next question onwards; anything still in draft is visible to no one.

Booking, paying and changing. Which actions exist depends on who is asking, and actions with financial consequences ask for confirmation first.

The same assistant, two roles. What it can look up and carry out differs per user.

Chat with the assistant: a student asks which bachata class suits her level. The assistant suggests Bachata Improvers on Friday at 20:00 and offers to sign her up.

The student

Questions about the schedule, their own membership, their catch-up credit and outstanding payments. Booking a class, signing off, placing an order and updating their own payment details.

Chat with the assistant in the back office: a staff member asks to open enrolment for tomorrow’s class at a price of 12,50. The assistant confirms: enrolment open, price set to 12,50 euro.

The team

Looking up members, updating enrolments and attendance, adjusting classes and courses, managing events and tickets, drawing up invoices and checking revenue.

What the assistant does and does not do

Within the user’s role

The assistant works within the role and the access of whoever is using it. A visitor gets public information, a student their own data and actions, and a staff member what belongs to their role. Anything outside that role does not exist for it.

No invented answers

If the answer is not in your school’s knowledge and not in your environment’s data, the assistant fills in nothing. It says it does not know and points to your school’s contact option.

You decide where it appears

You switch it on or off per place: on your public pages, in the portal for your students and in the back office for your team.

Teach the assistant how your dance school works

The assistant works from the knowledge you manage yourself: frequently asked questions, house rules, class information and working instructions. You manage that knowledge in Baila Studio and adjust it as soon as your programme or policy changes.
